Set your Assets and Tags

The Admin, the Owner and the Operator can manage the groups of assets, the assets and the tags within their MapYourTag account. The Tagger cannot register the asset in the MapYourTag database but they can update the status of the asset. 

Create your first asset and group of assets

To understand how MapYourTag works, we recommend you to create your first asset and group of assets. From the right side menu select "My assets/Create new asset". 

NOTE: The first time you create an asset the system wizard will assist you.

You're prompted to create and configure your first asset. By default, this new asset will be added to the group of assets named "Default". But your can move the asset to a new group that you create by clicking on the Add new group button. By default, there are four attributes to define your asset's properties with the Name, Serial Number, Description & Date of purchase. You can leave these default attributes but you can also edit/delete them and create attributes that better suit your need. You can customize the attributes related to the properties of your asset within its group with custom attributes.
There is a chapter that explains in details the custom attributes.

NOTE: Each group of assets can have its own settings. So you can create several groups of assets which may need different attributes to specify their properties and status. 

Register your assets

When you want to start tracking your asset, the first operation is to register your asset. The registration is used to collect the information about the properties of the asset. You can register various information such as the serial number, the name, the date of purchase, the price, the manufacturer name, the brand, the model, the color of your asset, ... The information about the properties of the asset does not change over the time. You may want to register different information depending on the asset. In this case, you can create groups of assets with the same properties, a group called furniture, IT, vehicles, camera... 

Update the status of your asset


When you want to start tracking your asset, the first operation is to register your asset. The registration is used to collect the information about the properties of the asset. Global settings for your group of assets

From your group of assets at the bottom of the page, you find the "Configure this group" button.
    
It enables access to edit and save your settings. Don't forget to apply your changes by clicking on the green button "Save" at the bottom of the configuration page. These settings apply on the behavior of the mobile app. 

You can edit the name of the group of assets. You can change the option related to the geolocation. The geolocation is registered from the position of the phone at the time you scan the tag/asset. You can select options that involve the scanning process with your mobile phone. 





Manage Tags


When you register your asset in MapYourTag you can assign it to a QR code, a NFC tag,  a barcode, an ID tag that we also call Custom ID. To set the type of tags you want to manage you can use the "Manage tags" page.

  • The QR code tag

If you are new in asset tracking or you don't have any tags then we advise you to use the QR generated on the MapYourTag   website.
If you don't have any tags on your asset, MapYourTag can generate the QR codes for you ready to be printed. So you can easily assign your asset to a QR code. You can also use your own QR code. 

  • The NFC tag

You can tap your NFC tag to assign your asset (Android phone only NFC enabled). NFC stands for Near field communication. NFC-enabled smartphones or tablets can read NFC tags. Launch the MapYourTag on your phone and approach the back of your phone very close to the tag for scanning it.

  • The Barcode

You can scan your barcode tag to assign your asset. You can use any barcodes complying with the following formats: QR_CODE, DATA_MATRIX, UPC_E, UPC_A, EAN_8, EAN_13, CODE_128, CODE_39, ITF.

  • The Custom ID

The custom ID tag is an identification tag. It usually contains a unique identifier (i.e. serial number). It may be a character string that includes letters and other typographical symbols. It's frequently numerical digits. MapYourTag provides a unique identifier that can be used as Custom ID as well. 

NOTE: You can combine the above type of tags. For instance, you can print QR code on NFC tag so you can use both the technologies. We also have customers that print the MapYourTag unique ID on the tag. If there is no more possibility to use the QR code and the NFC because they are damaged then the operator can manually enter the ID on the MapYourTag app to identify the asset. 

You can use different kinds of tags that you attach to your assets. Check the Tags and Assets section for to know more about the tags that you can use with MapYourTag.

Assign tags on the fly
If you manage a small number of assets or you have a large number of Operators, then you can easily assign on the fly the tags to your assets. Operators log in to the MapYourTag app. They scan a tag and assign an asset. When a tag is not known by the MapYourTag system the Operator is prompted to select a group of assets and an asset that he wants to assign to the tag, the Operator can create a new asset (even a new group of assets) for this tag.

NOTE: When you scan a tag that it's already assigned to an asset, you're prompted to update its status.

Once you have set your group of assets. You can try it out to see if it works as expected. You can download the MapYourTag mobile app for Android or iPhone. You can even create a user with a role other than an administrator (Operator or Tagger) to check how it works for your workforce.
